About PDF to Excel

Pulls a PDF's tables into a .xlsx workbook. Lines are rebuilt from the text runs on each page, the column boundaries are worked out from where those runs start, and each line becomes a row with its cells distributed across the columns.

It is a guess, and every PDF-to-spreadsheet converter makes the same one, because a PDF holds no table structure at all — only glyphs at co-ordinates. A ruled table with left-aligned columns comes out well. Merged cells, text that wraps inside a cell, right-aligned numbers and columns separated only by a thin gap are where the guess goes wrong, so check the result before working from it.

Each page can become its own sheet, which keeps a multi-page table's page headers out of the data, or everything can go onto one sheet if the table really does run on.

Where it helps

  • Columns are detected from the page rather than assumed, so a well-set table comes out aligned.
  • Numbers are written as numbers, so a column adds up in the spreadsheet.
  • One sheet per page or everything together, whichever suits the table.
  • The first rows are previewed before download, so a bad detection is obvious immediately.

Limits

  • Column detection is a guess; merged cells, wrapped text and thin gaps all defeat it.
  • Cell formatting, borders and colours are not carried across — only the values.
  • Text that is not tabular comes out as one long column, which is a fair description of what it was.
  • A scanned PDF has no text to read; run it through the OCR tool first.

Frequently asked questions

Why are my columns wrong?

A PDF has no table structure, so the columns are inferred from where text starts on each line. Right-aligned numbers, merged cells and wrapped text all break that. Try one sheet per page, or fix the columns in the spreadsheet.

Does it handle multi-page tables?

Yes. Put every page onto one sheet and the rows run together, though each page's repeated header comes with them.

Are formulas recovered?

No. A PDF holds the printed result, not the formula that produced it — there is nothing to recover.

Can I get CSV instead?

Not directly, but a spreadsheet will save the .xlsx as CSV in one step.
